About the Role
An Executive Assistant provides comprehensive support to senior executives, ensuring the efficient operation of daily business activities. Key responsibilities include managing complex calendars, coordinating meetings and events, arranging domestic and international travel, preparing and tracking expense reports, drafting and managing business correspondence, and overseeing a variety of administrative tasks. Success in this role requires outstanding organizational, communication, and stakeholder management skills.
As an Executive Assistant, you must be able to work a flexible schedule to accommodate travel logistics, international time zones, and occasional special requests.
Key Responsibilities
- Coordinate and manage all domestic and international travel arrangements for the CEO, ensuring seamless execution of business and personal travel requirements.
- Oversee the preparation, submission, and tracking of expense reports in compliance with company policies.
- Manage a complex executive calendar, coordinating meetings and events across multiple time zones with internal and external stakeholders.
- Lead all logistical aspects of executive meetings and events, including venue selection, transportation, catering, agendas, materials, and on-site coordination.
- Prepare, review, and manage confidential correspondence and communications on behalf of the CEO, maintaining accurate records and tracking systems.
- Liaise with vendors and external partners, obtain proposals, negotiate terms, and coordinate arrangements for corporate events and high-level meetings.
- Organize conference calls and external meetings, ensuring the CEO is provided with comprehensive briefing materials and relevant background information.
- Build and maintain strong relationships with internal and external executive support teams to facilitate effective coordination and communication.
- Provide backup administrative support to the Management Committee and global leadership team as required.
- Carry out additional responsibilities and special projects as assigned.

Education, Experience & Skills:
- Bachelor's degree or International Executive Assistant Course, bachelor's degree preferred.
- Proven experience as an Executive Assistant, preferably within a corporate or infrastructure services environment.
- 8 to 12+ years of experience managing complex executive calendars and priorities, coordinating leadership meetings and follow-up actions, preparing presentations and committee documentation, and organizing international travel arrangements.
- Excellent written and verbal communication skills in English and Spanish.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- High level of professionalism, discretion, and confidentiality.
- Strong interpersonal skills and the ability to build rapport with diverse individuals.
- Proactive and resourceful with a problem-solving attitude.
- Ability to work independently with minimal supervision and as part of a team.
